Digitisation projects often measure how many pages were scanned. That is an important preservation milestone, but it does not tell an employee whether the correct order exists, which clause applies or what approval is waiting. A folder of images is still a folder of work.
Document intelligence connects capture, classification, extraction, search, access and workflow. The objective is not to let AI read everything without boundaries. It is to make authorised knowledge easier to find and the next accountable action easier to complete.
Design capture for downstream use
Image quality, page boundaries, language and document type influence every later step. A capture workflow should validate readability, detect duplicates and preserve the original as evidence before transformation begins.
Metadata should reflect how the organisation retrieves and governs the record: party, date, reference, department, retention class and relationship to a case or transaction.
Separate extraction from interpretation
OCR converts visible content into machine-readable text. Extraction identifies fields and entities. Interpretation connects those facts to a policy, question or workflow. Combining the stages invisibly makes errors difficult to diagnose.
A dependable system retains confidence and source position. Users should be able to open the original page behind an extracted value or an AI-generated answer.
Make permissions part of retrieval
Search must never become a shortcut around document access. Results, snippets and AI answers should inherit the user’s permissions, retention rules and legal holds.
This requires identity-aware indexing and an audit trail for viewing, downloading, sharing and changing records. Governance is not an administrative screen added after search—it is part of the retrieval architecture.
Connect knowledge to workflow
The most valuable document insight usually implies an action: review a clause, renew a licence, approve an invoice, route a grievance or respond to a case. The platform should carry extracted context into that workflow rather than asking the user to re-enter it.
Automation should remain bounded. High-impact actions can be recommended and prepared while an authorised person confirms the decision.
